Billing management requires the Account Admin role.
Before you continue with this guide, please read the following article to understand Cubu licensing:
Subscriptions & LicensingWhen you create your Cubu organization, you get a free 14-day trial subscription with preset licenses.
You must purchase a subscription to continue using Cubu or change the number of licenses after this period.
Click Purchase Subscription to open the Subscription Wizard.
In this step, choose between the Pro, Premium, or Enterprise plans.
Use the feature list and pricing information to compare plans and choose the one that best suits your needs.
Choose "Enterprise" if you have a large or complex organization and want a customized offer.
In this step, enter your business information. This information is used for sending invoices.
Company Name: This name appears on invoices.
Email: Invoices will be delivered to this address.
Country: The country where your business is registered. This information is used for calculating tax. Cubu will add tax for businesses registered in Canada.
State/Province: Required when the country is USA/Canada.
Postal Code: Always required.
In this step, choose between monthly and yearly subscriptions and the number of required licenses.
A yearly subscription is cheaper than a monthly one!
User Licenses: Each user in your organization requires a license. User licenses are transferrable.
Kiosks: Each active kiosk requires a license. Kiosk licenses are transferrable.
Digital Sign: Each active digital sign requires a license. Digital sign licenses are transferrable.
File Storage: The amount of file storage space available for your organization. The main purpose of this storage space is to store media files (used by digital signs).
SSO: Enabling single sign-on requires a license. Note that this license is not available in the Pro plan.
The selected plan determines minimum and maximum values for each license type.
The monthly/yearly cost for the selected licenses, excluding tax.
This page provides a detailed breakdown of the subscription cost, including tax information and refunds in case you change an existing subscription.
Enter your credit card details to complete the purchase.
Cubu uses Stripe to manage its billing.
To add or remove a license to your current subscription, click Add or Remove Licenses to open the subscription wizard.
Using the wizard, you have the ability to add or remove licenses. However, please note that it's not possible to remove licenses that are currently being used. For instance, if you have 5 licensed users, you cannot decrease the number of licenses below 5. So, before changing the subscription, you must first un-license users.
Proration is the adjustment of charges for adding or removing licenses during a billing cycle. If changes are made in the middle of the cycle, you'll only be charged for the remaining time in that cycle. When reducing the number of licenses, the prorated amount saved will be credited to your account balance and applied toward your next charge.
If you wish to change your plan, click Change Plan to open the subscription wizard. The wizard will allow you to choose a different plan and adjust the number of licenses.
Please note that you cannot select a plan with more limited features than your current license usage allows. For instance, if your organization is currently utilizing SSO (Single Sign-On), downgrading to the Pro plan is not feasible without first disabling SSO.
When you cancel your subscription with Cubu, it will not renew at the end of the current billing cycle. You will be able to continue using the product until the end of the current billing period.
To end your subscription, click End Subscription in the subscription context menu.
If you wish to send SMS messages to your customers, you must purchase SMS credits and maintain their balance.
Each SMS segment is limited to 160 standard English characters. Messages exceeding this or containing special characters may be divided into multiple segments, resulting in additional charges.
The Credits panel shows your current SMS balance:
Click the Top Up button to purchase SMS credits.
When an invoice is generated for your organization, it is emailed to the address specified in your billing address. If you wish to view or download a historical invoice, click Payments on the navigation page to view your invoices.
The Payments page lists historical invoices and an estimate of the next invoice created when the subscription is renewed.
Expand an invoice to view its details. Use the Download button to download the invoice in PDF format.
Use the Payment Method page to add or remove a credit card and select the default card. Cubu always uses the default credit card for charges.
