Link your Google or Outlook calendars to Cubu

This new feature is set to launch in May 2025.

The Connected Apps page lets users connect their Google or Microsoft accounts and link their Google/Outlook calendars to Cubu.

When users link their calendar, appointments created in the Cubu calendar allocated to the user will show up as an event in the linked calendar. Events created in linked Google/Outlook will show in the user's Cubu calendar and block time so no other appointments can be booked during this time.

The following screenshot depicts a cubu calendar, showing an event created in a linked Google calendar:

Note that only events marked as Busy or Out of Office (Outlook) block time

Linking a Calendar

Open the user menu and click Connected Apps.

Click the Authorize Google/Outlook Calendar button on the Connected Apps page.

Depending on your selected calendar, a standard Google or Outlook authentication pop-up will appear, prompting you to log in with your username and password. After successful authentication, you will be prompted to grant Cubu access to your calendar.

Your browser may be blocking pop-ups. If nothing happens when you click the button, look for a browser alert and choose 'Always allow pop-ups and redirects from this site.'

The Linked Calendar dialog will open, allowing you to configure the calendar synchronization behavior:

  • Include event description and summary: Copy event descriptions from your external calendar into Cubu. Do not enable this if your Cubu calendar is shared and contains sensitive data. Available options are:

    • None: event description is not copied into Cubu.

    • Public events only: The description is not copied if the event is marked as private.

    • All events: The description is copied for public and private events.

  • Sync Cubu appointments with calendar changes:

    • Update appointment date, time, and duration: When you change an event created by Cubu on the remote calendar, Cubu will attempt to update the appointment to reflect the change. If you move the event to a date without an available calendar or outside of working hours, the appointment will not be altered, and the link will break. You will receive a notification regarding this issue.

    • Cancel appointments when linked events are deleted: When you delete an event created by Cubu from your Google/Outlook calendar, the appointment will be cancelled. Only future appointments in the "Planned" status will be deleted. Automations configured on the appointment's inbox with the "Appointment Cancelled" trigger will be activated.

Click the Calendar link to establish the link. Cubu will start synchronizing your future events. This may take a few minutes to complete.

Configuring Calendar Sync

Enable/Disable Calendar Sync for Your Organization

Calendar Sync is enabled by default.

To disable calendar sync for your organization and prevent users from connecting their calendars,

  • Go to Admin Tools > Settings > Calendar Sync.

  • Uncheck the Enable Calendar Sync checkbox, and click Save.

Customize Linked Events

To customize the titles and body of events created in your linked calendar, edit the Event Title and Event Description fields. These fields may include parameters that can be replaced with case data.
